Event Policies

Ticket Limitations

Registrations are valid only for the event(s), date(s), and/or time(s) for which they are issued. Unused registrations will not be transferred or refunded.

Venues & Service Providers

Venues and service providers (including, but not limited to, hotels, attractions, restaurants, contractors, etc.) are independent entities. As the ticketing agent, SageMint LLC, makes no representations or guarantees of safety, service, cleanliness, comfort, or any other provision. Venues and service providers maintain their own facilities, rules, and safety standards. Please contact the venue or provider to inquire about things such as: facility rules, parking procedures, health or safety warnings, masking requirements and other COVID protocols, accommodations for special needs, accommodations for late or early arrival, and other questions. Registrants are responsible for verifying all representations and requirements with individual venues and/or event providers.

Returns & Refunds

Advertising and Sponsorships are non-refundable.

If you need to cancel your registration, please contact us as soon as possible. Refunds for canceled registrations can be issued only prior to the following deadlines:

  • Deluxe Registration – Refundable until January 3, 2024
  • Basic Registration – Refundable until January 15, 2024

After the above dates, no refunds will be issued. Your registration may be transferred to another attendee if you notify us prior to February 1, 2024.

Inclement Weather

It is unlikely the Retreat will be canceled or postponed due to winter weather, unless there is significant ice or road closures between Tulsa and Northwest Arkansas, or major power outages in the NWA area. If inclement weather is expected on Retreat weekend, we will delay the decision to cancel or postpone until we have detailed information about road conditions, and any service updates from our retreat hotel.

Event Cancellation

If an event is canceled, refunds or replacement registrations will be issued, at our discretion.

Merchandise Pickup & Shipping

Purchased merchandise (such as tote bags, swag bags, etc.) will be available for pickup in Tulsa, Oklahoma, starting one week after the retreat concludes. Merchandise can be shipped, but additional fees will apply to cover shipping.

Partnership Policies

All sponsorships and advertising are subject to approval at the discretion of SageMint LLC. We reserve the right to decline to partner with businesses, organizations, or individuals whose values, branding, or priorities do not align with those of SageMint LLC. At this time, we decline to partner with businesses, organizations, or individuals whose primary focus is promoting the following products or services:

  • Public-school-at-home, online public charter schools, or similar services or programs;
  • Cannabis products, tobacco products and/or electronic inhalants (e-cigarettes, vaping, etc.);
  • Casinos, gambling, online gaming, lotteries, or similar products or services;
  • Obscene or sexually-explicit products or services;
  • Products or services that stand in opposition to Scripture and the Christian faith;
  • Political candidates and products or services that are overtly political in nature;
  • Other entities whose products or services do not align with the Purpose Statement of SageMint LLC.
